How to Close out a Class

Process for Closing Out a Class:

 

  1. Verify Student is paid tuition in full

    1. Or is current on their payments (if their payments are extended past class graduation)

  2. Verify all externship hours have been completed

  3. Enter externship "grade" into Canvas

    1. Green checkmark for completed

    2. Black x for not completed

      1. Any student that has missing externship hours should be sent an email and text message reminder to turn in their hours as soon as possible

Note: If your class uploaded through file upload instead of externship, you will have to hand grade

  • The externship is auto-graded but it not in the gradebook yet

  • Go to ZQL Start Date -> Student Progress’ tab

    • Grade will be in ‘Externship_grade’

  • Once in Canvas, the ‘Gradebook Externship’ will change to ‘graded’

    1. Verify Student Grades are all entered and students passed the course

      1. If the student failed they can pay for and attend a makeup class to improve their grade

    2. Check to make sure the transcripts are populating correctly in ZQL

    3. Verify attendance is correct for each student and as a class the attendance is accurate and complete

    4. Verify that we have all student documents before generating certificates. This should be a pre-audit to a school inspection. This will help ensure that you are still able to gather any missing items, if you have any

      1. Use the ‘Class Closeout’ tab in the start date browser in ZQL

    5. Generate Certificates in Accredible

    6. Create CPEs for all students who do not have a job yet
    1. This is done in mass in HubSpot:
  1. Select ‘Yes’ in the start date ticket in HS under ‘Mass Generate No-CPE Forms?’ property

  2. Remember to press ‘Save’

  1. Any students that are not closed out, keep up with and if it gets to be a few weeks after class get with your lead, and the student will most likely need to be dropped and not graduate (including not getting a certificate)
