NHA Processes
AS SOON AS YOU TAKE OVER A MEDICAL LOCATION DO THE FOLLOWING:
- Reach out to Kim Leon at NHA (kim.leon@nhanow.com) who is our account manager. Make sure to introduce yourself and get access to the appropriate schools on the NHA portal - www.nhanow.com.
ORDERING NHA STUDENT MATERIALS:
- At least four (4) weeks prior to a new class start, check with the locations instructors to ensure you have inventory.
- They will also complete various check-ins throughout the program which can be found on this Hubspot Dashboard.
- If you do not have inventory, you will email Kim Leon to ensure it is added to your account.
- Open up a new email, addressed to kim.leon@nhanow.com
- The Subject of your email should say Zollege - “Your school’s location” Inventory Request

- The body of your email should follow the following format:
- Hi Kim!
I am requesting __#__(number based on class cap, minus number of available books) Certified Medical Administrative Assistant (CMAA) 3.0 Printed Study Guide + Online Practice Tests to be ordered through the Zollege account and added to the inventory at _______SCHOOL________ (school name as it appears on NHA). The start date for this course is _____DATE_____.

SETTING UP A NEW CLASS, CREATE A NEW COURSE IN NHA - OG PROGRAM ONLY:
This needs to be done before the start date of a class.
- Log on to the website at www.nhanow.com
- Choose the correct school from the drop-down menu.
- Choose “Courses” under “Prep Materials.”
- Click “+New Course” on the top right side.
- Name the course the school name, start date, and AM/PM. Ex: Granbury 1/1 PM
- Start Date - First day of Class
- End Date - Leave blank
- Under “Fields of study, click CCMA.”

- Medical Assistant (CCMA) Online Practice Test 3.0 - YES. (Choose week 14 of the course as the available on date.)
- Days between attempts - 1
- Click the orange “Create Course” button
- Click on “Courses” on the left.
- Choose the correct course and click “Roster.”
- Click “Invite Candidates”
- Copy and paste the students’ email addresses into the roster and choose “check addresses” and then “Send Invites.”
REQUEST AN EXAM DATE - OG PROGRAM ONLY:
- Under the same “organization” - choose “Request New Exam” under “Exams” on the left.
- Exam Date - Put the date of Week 23
- Application deadline - the Friday before Week 22 - 8 days before the exam.
- Exam Time - leave blank
- Purchase Order Number - Leave blank
- Testing Method - Online
- Number of Available Computers - Please use cap size
- Exam Type - CCMA
- Click the orange “Request Exam Date”
TASKS TO COMPLETE DURING THE 24-WEEK COURSE:
- Before week 2, you should log on and check the course roster to make sure all students have registered for the course so that they can take the CCMA practice exams. If they have not, reach out to them and ask them to check their email for the email from NHA. It may be in SPAM.
- OOn Week 19 of class, the instructor should register the students for the CCMA exam. You should check that following Monday to make sure that all students have registered. Choose the correct course in NHA and click “View Exam Applications.” If any students have not registered, reach out to them and ask them to register. THE MOST COMMON ISSUE IS THAT THEY DON’T HAVE THEIR ORGANIZATION SET TO THE RIGHT SCHOOL. IT MUST SAY EXACTLY WHAT IT SAYS IN OUR PORTAL. EX: ROUND ROCK MEDICAL ASSISTANT SCHOOL.
- You will get an email from NHA to approve the roster when it closes on the Friday - 8 days before the test. Once it is closed, you must reach out to Kim Leon to have her reopen the exam if any students haven’t applied for the exam.
- Make sure all students have completed their externship hours by the Friday before CPR week 22.
CCMA EXAM OVERVIEW:
- 180 questions
- The first 30 are practice questions and the last 150 are graded.
- Students have three hours to complete the exam.
- Scores range from 250-500. Students must earn a 390 or above to pass the exam. This is a 78%.
- In Canvas, you must enter the CCMA exam grades - the grade book has it out of 500.
- If students needs or request accommodations during the exam, this type of accommodation would need to be processed and approved by the NHA.
IF THE STUDENT DOESN'T PASS THE CCMA EXAM:
- Students have to wait 30 days to submit the application to retest.
- They have to register as an individual (NOT WITH THE SCHOOL) and pay the exam fee which can be found on the NHA website (typically $160, but subject to change). They should study the quizzes in the back of their textbook, quizlet, and take all of the practice tests in their portal.
