Student Entrance Assessment (SEA) Process

Student engagement is a major key to student success. SEAs serve to start engaging with the student, make introductions, and cover a few basic topics to prep for the program. Each student that pays and enrolls in the program is called within 3 business days of their enrollment/payment.

  1. After a student pays and enrolls in the program, they show up on the ‘Entrance Survey’ HubSpot report on the CM dashboard.

  1. Calendly link is automatically sent out through Regal Voice via text the day following the deposit paid for a student

    1. Frequency:

      1. Initial text to register via link goes out the day after the deposit is paid

      2. If not registered, sends out 2 days later with the link again (day 3 after deposit paid)

      3. If still not registered, sends out last text 2 days later (day 5 after deposit paid)

    2. Calendly event details:

      1. Set up as 20 minute calls, with 10 minute wrap up after that 20 minutes

      2. Auto texts a reminder to the student 2 hours before the call

  2. CM calls the student during the scheduled time student chose via Calendly

  3. CM fills out the Student Entrance Assessment Form

  4. If the student doesn't answer, text the student with your Calendly link for them to schedule/reschedule a callback

    1. Try to call back a few days later if student still hasn't filled out the Calendly link to schedule
