External Student Job Form - this is to be filled out as if you were the student. Be sure to copy pertinent information from the students Hubspot profile to ensure it connects.
STUDENT HAS A JOB
Celebrate! Zollege exists so that students can ultimately get a job in the field of study they went to school for to better themselves, their families, and their life. Every job a student gets, is a testament to all the hard work that every single person pours into their job.
In order for a student job to count the Completer Form / CPE Form must be completed either by you internally or by the student.

CPE is a company wide term used to describe that we have the proper documentation for the status of a student’s completion. This could be for any of the following reasons:

Student is hired.

Student is currently or plans to be a full time student at a different institution.

Student has enlisted in the military after graduation from our program.

Anytime a student has a job, we have to collect the following information:

Where / the office information

The phone number and address can be pulled from online
- If the students works for a chain (example Aspen Dental) it might be worth clarifying the address with the student.

When the student started (if we don’t know the exact date we can use MM/YYYY)

Their starting wage (hourly or salary)

Their supervisor

If the student doesn’t give you this or you do not know you can use the office’s website to find the office manager or the doctor’s name.
- If MA student, we can use the CEO or Head Nurse.

What if I know that a student is hired but I don’t have all the information?

Collect the information you can, especially the start date and the office
-
On the student contact in HubSpot, update the ‘Student Job Status’ property to ’Hired - Need CPE’ (or for Texas students ‘Hired TX - Need CPE’)

This will allow this status to show up on reports and dashboards

UPDATING A STUDENTS HIRED STATUS
Updating the ‘Student Job Status’ status on a student contact in HubSpot is extremely important in leaving yourself, the team, and instructors, the visibility of your students and classes. This property will fill into different reports an also is what helps us calculate job numbers as well as highlight how many students looking for a job in a given class or location
Status Updates to Keep your Reports Updated:

Changed Career = student has Changed Career out of dental/medical and not looking for a job in the field

DNC = Do NOT contact student - this will stop any further job information going to the student and allow us to know that this student is not in a pool to get hired

FTS - Need CPE Info = student is a Full Time Student but we still are collecting info before can be counted in the system

FTS TX - Need CPE Info = student is a TX student that is a Full Time Student but we still are collecting info before can be counted in the system

Hired - Need CPE Info = student that is hired but we still are collecting info before we can fill out the form and it be counted in the system

Hired TX - Need CPE Info = student is a TX student that is hired but we still are collecting info before we can fill out the form and it be counted in the system
TIPS AND TRICKS FOR JOB HUNTING
Nothing helps more than getting your instructors involved.

Ask about past students or if they have heard from them.

Ensure that Exit Interviews get completed and turned into you at the end of class.

Even if they just know that a student was hired is helpful! It’s even better if they know where.

Looking the student up on social media

Calling emergency contacts, like mom/dad/grandma/pa, to see if they have a status.

Always let them know you haven't been able to reach the student and you just want to know if they are hired already in the field, and if not you want to help them get a job.

Calling the student's externship office and seeing if they were hired there.
If you know a student has been hired at an office, but they haven't given you all the information - you can call and request the additional information from an Office Manager. As part of their enrollment, students do sign a form allowing for us to collect this information. Its important to note, the office has no obligation to provide this information but typically will be willing if you explain.
