Purpose

This SOP outlines the process for creating courses in the NHA platform to ensure students have access to required training materials and certification resources before classes begin.

Scope

Applies to the Academics Team responsible for setting up NHA courses for new student cohorts.

Definitions

  • NHA: Platform for certification exams and training.
  • ZQL: Internal system for enrollment and rosters.
  • Canvas: Learning management system.
  • HubSpot: CRM for student tracking and communication.
  • Smartsheet: Tool for tracking school data.

Responsibilities

  • Academics Team: Verify rosters, create courses, invite students, schedule exams, and send communications

Procedure

Step 1: Identify Upcoming Class

  • Identify class 30 days before start date
  • Verify student roster and enrollment
  • Confirm required materials and resources are available

Step 2: Create Course in NHA

  • Log into NHA portal
  • Select organization/location
  • Navigate to Courses → New Course
  • Name course using location + start date
  • Leave end date blank
  • Add required materials:
    • CCMA Online Practice Test 3.0
    • MA SkillsBuilder: Clinical Plus 2.0
  • Create the course

Step 3: Add Students

  • Locate course and open roster
  • Invite students 2 weeks before start date
  • Paste and verify student email list
  • Send invitations

Step 4: Student Communication

  • Send reminder to accept NHA invite
  • Advise students to check spam folder
  • Recommend using Google Chrome and disabling pop-up blockers

Step 5: Schedule Certification Exam

  • Request CCMA exam in NHA
  • Set max applications based on class size
  • Schedule exam:
    • Week 18 (18-week program)
    • Week 23 (24-week program)
  • Set application deadline (8 days before exam)

Step 6: Final Verification

  • Confirm all students are invited
  • Verify Canvas access
  • Ensure onboarding communication is sent
