Purpose

Defines the process for supporting students in securing employment through structured outreach, job resources, and progress tracking.

Scope

Applies to students nearing externship completion or requesting job assistance at any stage of their program.

Trigger

  • Student reaches externship completion stage
  • Student requests job search assistance

Process Overview

1. Initial Outreach

  • Contact student via phone to initiate job search discussion
  • Discuss job opportunities in their area
  • Provide resume support and guidance

2. Automated Job Distribution

  • Send job opportunities via SMS based on program and location
  • Students confirm applications by replying "YES"

3. Job Search Support

  • Provide job leads from internal and external sources
  • Use job boards such as Google Jobs and Indeed
  • Coordinate with staffing specialists if opportunities are limited
  • Help students refine job preferences and remove barriers

4. Student Engagement Tracking

  • Track job search activity in HubSpot
  • Maintain list of students actively seeking employment
  • Follow up regularly to ensure application progress

5. Placement Qualification

  • Mark students as eligible or ineligible for placement support
  • If unresponsive, set Placement Support = No
  • Re-qualify students if engagement resumes

6. Escalation

  • If student remains disengaged, escalate for review
  • Coordinate with Program Manager before removal from placement support

7. CPE Collection

  • Collect employment details from hired students
  • Placement specialists assist in gathering job data
  • Document outcomes for reporting and compliance

8. Ongoing Support

  • Continue providing guidance until placement is achieved
  • Ensure students are aware of all available opportunities

Completion Criteria

  • Student receives job support and resources
  • Job search activity tracked in HubSpot
  • Student either placed or properly categorized

  • Job boards (Indeed, Google Jobs)
  • Canvas (Career resources)
