Purpose

Defines the process for evaluating student eligibility for placement support to ensure readiness for job placement assistance.

Scope

Applies to Academic Advisors evaluating Medical Assistant (MAS) and Dental Assistant (DAS) students for placement support eligibility.

Trigger

  • MAS students reach Week 14
  • DAS students reach Week 10

Process Overview

1. Review Task Queue

  • Access HubSpot task queue
  • Locate placement support evaluation tasks

2. Evaluate Eligibility

  • Confirm externship status
  • Review academic standing
  • Verify active job search efforts
  • Check job applications and reporting activity

3. Update Status

  • If qualified, set Placement Support = Yes
  • If not qualified, set Placement Support = No

4. Disqualification Follow-Up

  • Send notification message to student
  • Provide scheduling link for support
  • Log communication in HubSpot

5. Requalification Process

  • Reevaluate students who improve eligibility
  • Update placement status accordingly

6. Final Review (PW4)

  • Confirm final eligibility status
  • Drop students who remain disqualified

Key Rules

  • All criteria must be met for eligibility
  • All outreach must be documented
  • Students must be reevaluated if status changes
  • Final determination must be completed by PW4

Completion Criteria

  • Eligibility evaluated and updated
  • Students notified of status
  • Records updated in HubSpot
