Purpose
Defines the process for sourcing job and externship opportunities to support student placement and new school launches.
Scope
Applies to staffing and placement specialists responsible for identifying, validating, and submitting job and externship opportunities.
Trigger
- Request from Academic Advisor or operations leader
- New school launch requiring job and externship opportunities
Process Overview
1. Submit Targeted Search Request
- Complete the Targeted Search Request form
- Provide relevant search criteria and location details
2. Receive and Assign Request
- Log request in tracking sheet
- Assign or claim request by staffing specialist
- Begin research and outreach
3. Conduct Targeted Search
- Build lead list using template tracker
- Identify opportunities through:
- Existing hiring partners in HubSpot
- Online job postings
- External research (Google, outreach tools)
- Contact offices to confirm job or externship opportunities
- Follow up until confirmed response is received
- Aim to generate at least 4 opportunities per request
4. Submit Opportunities
- Submit opportunities via Hire a Grad form
- Trigger automated SMS distribution to students
5. Close the Request
- Notify requestor of completed search
- Share results and submitted opportunities
Key Rules
- All opportunities must be validated before submission
- Follow up consistently on all leads
- Use HubSpot and tracking tools for organization
- Maintain communication with requestor
Completion Criteria
- Targeted search completed
- Opportunities submitted via Hire a Grad form
- Students notified through SMS automation
- Requestor informed of results
